Vadiy for the office

This page is for project managers, procurement, and service managers working on a desktop. It covers the desk side of Vadiy: approvals, buying, supplier prices, service work, invoices, and the record of it all.

Approve or decline an order

New orders wait for you under Pending approval. Open one, check the lines and the needed-by date, and click Approve. The warehouse can start picking right away. To say no, click Decline and give a reason. The reason is required because the foreman reads it word for word on their phone. Write it the way you would say it on a call: what to change, and what to do next.

The procurement board

Approved orders that need buying land on the procurement board. Claim an order so the rest of the team knows it is yours. Set an ETA (the expected arrival date) so the field knows when to plan for it. When you are ready to buy, cut a purchase order from the order. The purchase order carries the lines, the supplier, and the prices, and it counts against the project budget.

Ask suppliers for prices

An RFQ (request for quote) asks suppliers what they would charge. Pick the lines, pick the suppliers, and send. Vadiy emails each supplier for you. Replies come back into Vadiy on their own, so nothing gets forwarded by hand. Open the replies to compare prices side by side, then award the winner.

Service tickets

A service ticket tracks one job of service work. Create the ticket with the address and the problem. Schedule visits for your techs. Keep notes on the ticket's thread so the whole story stays in one place. Close the ticket when the work is done. Closed tickets are what you invoice from.

Invoicing

Open a closed ticket and build the invoice from it. The visits and work are already there, so you check the lines instead of retyping them. Send the invoice, then record payments as they come in. The invoice shows Partially paid until the balance reaches $0, then Paid.

The audit trail

Every action in Vadiy is written down: who did it, what changed, and when. Open Admin, then Audit to read it. Entries are plain English with timestamps. When someone asks what happened on an order, the answer is already written.

Tools

The Tools page is the company tool registry. Add a tool with a photo, print its QR label, and check it out to a person or a job. Ask the holder to confirm they still have it, or request it back; both arrive as notifications on their phone. Every move is written down, so a lost drill has a last known holder, not a mystery.
